What goes wrong when a team shares one Gmail inbox

Nobody knows who’s replying

Two people answer the same customer, or nobody does, because Gmail can’t show who owns a thread.

Shared logins and forwarding chains

Teams share a password or forward threads around, and the history ends up scattered across personal inboxes.

No way to see what’s overdue

An inbox is sorted by arrival time. The email that’s waited three days looks the same as one that arrived a minute ago.

How it works

A shared inbox built into Gmail, not bolted on beside it

Assign any thread

Hand a conversation to a teammate in one click. They see every message from the start, even if they were never on the thread.

◷

Statuses and deadlines

Move threads through your own stages and set due dates, so overdue replies stand out.

●

Team read and unread

An email assigned to you stays unread for you until you open it, even if a teammate already looked.

▦

Five views of the same work

Message, Board, Table, Deadline and Day Planner. Most teams live in Message View and switch to the board for the pipeline.

FAQ

Gmail shared inbox: common questions

How do I set up a shared inbox in Gmail?

Install Sortd in Gmail, create a shared inbox for an address your team already uses, such as support@, and invite your teammates. There’s no mailbox migration and customers keep emailing the same address. Most people are set up in about two minutes.

Do teammates need to share a password?

No. Each person uses their own Google account. Sortd controls who can see and work the shared inbox, and everyone on the board sees the full thread history.

Is Sortd a helpdesk?

It does the job of one for email teams, without ticket numbers or a separate app. Customers get normal email replies from your own address and your team works from Gmail. If you need chat and phone support in one queue, a dedicated helpdesk may suit you better.

Can an AI agent work in the shared inbox?

Yes, on the Business plan. Connect Claude, ChatGPT or your own agent through the Sortd API or MCP server. By default an agent can only create drafts. Sending needs a permission you grant, and your team reviews the work on the same board.
